Terms of Service

These Terms of Service (“Terms”) govern your access to and use of the Village Space platform (“the Service”), operated by Village Space (“we”, “us”, “our”).
By creating an account or using the Service, you agree to these Terms. If you do not agree, please do not use the Service.
1. The Service
Village Space provides software tools for community venues — including village halls, sports clubs, and similar organisations — to manage bookings, activities and communications. We also provide public-facing pages that allow members of the public to discover venues, view events and submit booking enquiries.
Village Space acts as a software and payment facilitation platform. Booking agreements are formed directly between venues and bookers — we are not a party to those agreements and do not control the terms, policies or conduct of either side.
We reserve the right to modify or discontinue any part of the Service at any time. We will give reasonable notice of any significant changes that affect existing subscribers.
2. Accounts
You must provide accurate, complete information when creating an account and keep it up to date. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account.
You must be at least 18 years old to create an account. Accounts may only be used by the individual or organisation to which they are registered.
We may suspend or terminate accounts that violate these Terms, or where we have reasonable grounds to believe the account is being misused.
3. Venue administrators
If you use Village Space to manage a venue, you agree that:
- You are authorised to act on behalf of the venue or organisation.
- The information you publish — including descriptions, photos, pricing and availability — is accurate and not misleading. You are responsible for keeping it up to date.
- You will handle personal data submitted by bookers in accordance with applicable data protection law.
- You are responsible for setting and communicating your venue’s booking conditions, cancellation policy and any other terms that apply to bookers.
- Refund decisions rest with the venue. Village Space may facilitate the mechanics of a refund where technically possible, but is not liable for amounts owed by venues to bookers.
4. Payments
Payment processing is provided by Stripe. By making or receiving payments through the Service, you also agree to Stripe’s Terms of Service.
Village Space charges a platform fee on transactions processed through the Service. Current fees are set out in the Pricing section of our website and may be updated with reasonable notice.
Village Space facilitates the collection and transfer of payments between bookers and venues. We are not responsible for disputes arising from the underlying booking — those are a matter between the venue and the booker, governed by the venue’s own policies.
5. Service availability
We aim to keep Village Space running reliably, but we cannot guarantee uninterrupted availability. From time to time the Service may be unavailable due to maintenance, updates or circumstances outside our control.
We will try to carry out significant maintenance at low-traffic times and give advance notice where possible. The platform is actively developed and features may change, be added, or be retired over time.
6. Evolving platform
Village Space is a young and actively evolving product. Some features may be in early access or subject to change as we learn from real-world use. We’re grateful to the communities who use the platform and may use feedback to improve the Service — we will never identify individual users without their consent when doing so.
We’ll always aim to be straightforward about what’s available, what’s coming, and what’s changing.
7. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in breach of any applicable regulation.
- Post false, misleading or fraudulent content.
- Attempt to gain unauthorised access to any part of the Service or its infrastructure.
- Use automated tools to scrape, crawl or extract data from the Service without our written permission.
- Interfere with or disrupt the integrity or performance of the Service.
8. Intellectual property
The Village Space platform, including its design, code and content, is owned by us and protected by intellectual property law. You may not copy, reproduce or distribute any part of the platform without our prior written consent.
Content you upload to the platform (such as venue descriptions and photos) remains yours. By uploading it, you grant us a licence to display it as part of operating the Service.
9. Limitation of liability
To the fullest extent permitted by law, Village Space shall not be liable for any indirect, incidental, special, consequential or punitive damages, including but not limited to loss of revenue, loss of data, or loss of goodwill, arising from your use of the Service.
Our total liability in connection with the Service shall not exceed the amount you have paid us in the three months preceding the claim.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
10. Data retention
We retain personal data for as long as your account is active or as long as necessary to provide the Service. Booking and payment records are kept for at least six years to comply with financial regulations. Backups are maintained for a reasonable period in accordance with our infrastructure practices.
When data is no longer needed, we delete or anonymise it securely in line with our Privacy Policy. You can request deletion of your data at any time by contacting us.
11. Termination
You may close your account at any time by contacting us at hello@village.space. We may terminate or suspend your account immediately if you breach these Terms.
On termination, your right to use the Service ends immediately. We will retain data in accordance with our Privacy Policy and applicable legal obligations.
12. Changes to these Terms
We may update these Terms from time to time. If we make material changes, we will notify account holders by email at least 14 days before the changes take effect. Continued use of the Service after that date constitutes acceptance of the revised Terms.
13. Governing law
These Terms are governed by the laws of England and Wales. Any disputes arising from or relating to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
